Search at a glance

The "Search all the things..." box in the top bar, the categories it groups results into, and how to open one.

  1. Search box

    The "Search all the things..." box sits in the top bar on every page. Type at least two letters and results appear below it as you type, grouped into categories.

  2. Passwords

    Vault entries. This is the first category by default, and each result shows the client and login it belongs to.

  3. Clients

    Client organizations matched by name or domain.

  4. Users

    Staff and client contacts, matched by name or email. A result is labeled Staff or Contact depending on which kind matched; here it found the client contact Priya Shah.

  5. Knowledge Base

    Client-facing knowledge base articles, matched by title or by text inside the article.

  6. Tickets

    Tickets matched by number, subject, client, or contact.

  7. Procedures

    Internal procedures. The full results page for this same query shows 6 matching procedures; the header dropdown stops at 5 and links to View all results for the rest.

  8. Domains

    Domain records matched by domain name, registrar, or DNS provider.

  9. View all results

    Opens the dedicated Search page with the same query, where every category gets its own tab instead of a 5-result cap.

The full results page holds more per category

  1. Category tabs

    One tab per category that matched, each with its own count. Passwords is 2 here, and Procedures is 6, not the 5 the header dropdown showed.

  2. Result list

    The active tab's results, up to 25 per category. A tags box can also appear above this list when a tag name matches the query.

Opening a result

  1. The record's own page

    Clicking a result closes the search and opens that record's own page directly. Clicking the Bluebird Dental client result lands on its Overview page, not a search-results list.

Your default order, in Search settings

  1. Results Per Category

    5 is the default cap on how many results the header dropdown shows per category; everyone starts here until they change it.

  2. Category Order

    The default order for everyone: Passwords, Devices, Clients, Users, Knowledge Base, Tickets, Network Devices, Procedures, Workflows, Domains, Expirations, and Assets last. Drag a row here to change your own order, or use Visible Categories above it to leave one out entirely.

Why it works this way

Ticket search only reaches the subject, the client, and the contact, not the message body; Knowledge Base search is the one category that also looks inside the article's own content, not just its title.

The header search does not cover Settings pages. Settings > System > All Settings has its own search box for that.

Other ways to do this

Keyboard

Press Ctrl+K (Cmd+K on a Mac) from anywhere to jump into the search box, then use the up and down arrow keys to move through the results and Enter to open the selected one. Escape clears what you typed first, then closes the dropdown on a second press.

You want to search or move through results without reaching for the mouse.

Tag search

Prefix your query with tag: (for example tag:fortigate) to list everything carrying a matching tag instead of matching the word itself. On the full Search page, matching tags also appear above the results, ranked by how many clients use that tag name.

You want everything tagged a certain way rather than everything containing a certain word.

How does global search work?

Type at least 2 characters in the search bar (Ctrl+K to open). Results are grouped by type: Clients, Tickets, Users, Devices, KB Articles, Vault Entries, Procedures, Domains, and more. Click any result to navigate to its detail page. Results update as you type.

What can I search for?

Global search covers clients (by name or domain), tickets (by number or subject), users, both staff and client contacts (by name or email), devices, network devices, vault entries, knowledge base articles, procedures, workflows, domains, expirations, and assets. Prefix your query with `tag:` to find anything carrying a matching tag. Category tabs show how many results matched each type.

Does the global search match multi-word queries across fields?

Yes. The search bar splits your query into words and matches them with AND across the searchable fields for each entity type, so "acme vpn" finds a ticket when one word is in the subject and the other is in the client name or the contact. Ticket text search covers subject, client, and contact (not the message body); knowledge-base search also looks inside article content. Permission-gated per user. Header bar everywhere; the dedicated /admin/search page returns 25 results per category.

What does the search bar look at?

12 entity types in parallel: clients (name, domain), tickets (# or subject or client or contact), users, devices, network devices, KB articles (title + content), vault entries, procedures, workflows, domains, expirations, and assets. Set per-category result counts, hide categories, and reorder priority at /admin/profile > Search Preferences.

Can I search for everything tagged with X?

Yes, prefix your query with "tag:" to switch into tag mode. e.g. "tag:fortigate" lists every entity carrying a tag whose name contains "fortigate". The /admin/search results page also shows a row of tag suggestions above your results, ranked by how many client orgs use that name, most-used first. The header search dropdown does not show these suggestions; it only lists matching records.
