Set up your instance for the first time

Sign in for the first time and walk the four-step setup wizard: confirm your company info, see the modules you were provisioned with, preview the optional identity-provider connections, and pick a voice for Elise.

You need An owner account and the sign-in link from your trial or provisioning email.

What you will have

  • Sign in for the first time and complete the four-step wizard: company info, modules, identity provider preview, and Elise's voice.
  • Know what each step actually saves, and exactly where to change it later in Settings.
  • Land on your dashboard with a setup checklist that keeps going where the wizard left off.

Why it works this way

The wizard writes real settings the moment you click Save & continue on a step, the same Settings rows the pages behind it read.

Company name, portal name, timezone, and owner email land on Settings > Company > Company Profile; the voice you pick lands on Settings > AI Assistant > Identity.

There is no separate draft to publish afterward.

The modules step and the identity provider step are both previews, not configuration.

Your modules are fixed at provisioning, so that step only shows what you already have; the identity provider cards don't connect anything, they point you to Integrations once setup is done.

Confirm your company info opens pre-filled from your signup, so most of the time this step is a 60-second check, not a form you fill from scratch.

A trial's company name, portal name, and owner email are already set from the sign-up form before you ever see the wizard.

Finishing the wizard hands off to a dashboard checklist, Get set up, that lists the rest of the instance's readiness steps in the same order and ticks each one off the moment its real condition is true, not because you told it you were done.

Steps

  1. Sign in for the first time and click "Let's get started" on the welcome screen.

    The welcome screen names your company ("Welcome to Northwind Managed Services Portal") and gives four short reasons to keep going: Elise runs in the background, one platform instead of seven tabs, built for speed, and MSP-grade security. The footer under the button reads "4 quick steps - all editable later in Settings", which is the honest description of the whole wizard: nothing here is a one-time, unchangeable choice.

    Sign in for the first time and click "Let's get started" on the welcome screen.
  2. Confirm your company info, then click Save & continue.

    Step 1 of 4. Four fields, all pre-filled from signup: Company name ("used in customer-facing emails and the portal header"), Portal name (defaults to "<company name> Portal", shown wherever the product name renders), Timezone ("used for ticket timestamps, SLA windows, and report cycles", defaulted to America/Chicago for this trial), and Owner email ("where billing and critical alerts land"). Saving writes company_name, product_name, default_timezone, and owner_email, the exact fields Settings > Company > Company Profile shows afterward.

    Confirm your company info, then click Save & continue.
  3. Review the modules you're set up with, then click Continue.

    Step 2 of 4. This step is informational only, it never asks you to choose anything. Core ("tickets, clients, users, billing, time, knowledge base and AI, always on") is always listed; this trial also shows MSP ("pods, dispatch, RMM tool slots, SLAs, technician workflows") because that's the vertical it was provisioned with. The copy says plainly that modules are provisioned with the instance, and adding a vertical later means contacting ezCyber support, not a setting you can flip yourself.

    Review the modules you're set up with, then click Continue.
  4. Preview the optional identity provider connections, then click Continue.

    Step 3 of 4, marked (optional) in its own title. Two cards, Microsoft 365 and Google Workspace, each described but neither is connectable from here, both read "Available from Integrations right after setup". The note under the cards is explicit: "Finish this setup first - then connect from Integrations. The setup checklist will remind you." Nothing is skipped by clicking Continue here because nothing on this screen can be turned on in the first place.

    Preview the optional identity provider connections, then click Continue.
  5. Pick a voice for Elise, then click Save & continue.

    Step 4 of 4. Three tones, each with a sample reply so you can hear the difference before choosing: Professional ("polished and respectful, default, good for client-facing replies"), Friendly ("warm and conversational"), and Direct ("short, technical, no fluff"). Professional is pre-selected. The description under the heading says Elise "learns your real voice automatically as you edit its drafts", so this pick is a starting point, not a permanent setting. Saving writes ai_tone_style, which Settings > AI Assistant > Identity shows and can change afterward.

    Pick a voice for Elise, then click Save & continue.
  6. See the completion screen, then click "Take me to my checklist".

    The screen reads "You're all set" and confirms the portal is configured, with a note that Elise is briefing the dashboard now and proactive suggestions show up within a minute. A "Next up" card previews a few of the same steps the dashboard checklist tracks; for this trial, with a client already on the books, that list reads Connect Microsoft, Connect your mailboxes, Bill your first client, and Finance and accounting. The primary button goes straight to the dashboard; "or browse all the setup wizards" is a secondary link to the full Setup Wizards list; if you do nothing, it redirects to the dashboard on its own after 10 seconds.

    See the completion screen, then click "Take me to my checklist".

Other ways to do this

Settings > Company > Company Profile

Edit company name, portal name, timezone, and owner email directly, the same fields the wizard's company step wrote.

Any time after setup, to change the basics the wizard captured.

Settings > Company > Branding

Upload a logo and favicon and set a brand accent color.

The wizard never offers branding at all; this is the only place to set it.

Settings > AI Assistant > Identity

Change Elise's name, avatar, and tone beyond the three preset voices the wizard offers.

To adjust or replace the voice the wizard set.

Settings > System > Setup Wizards

Work down the same readiness steps in order from the dashboard; each row checks itself off the moment its real condition is true, never because you said you were done.

Right after finishing the wizard, and any time afterward to pick up where you left off.

Ask Elise, in chat, to open a settings page or explain what a setting does.

You'd rather ask than navigate the settings tree yourself.

If it did not work

  • If you land on the dashboard instead of the welcome screens, open Settings, System, Setup Wizards, or go to /welcome.
  • If you leave a step without clicking its Save & continue (using Back, or closing the tab), that step's edits are not kept; only a step you actually saved is written.
  • If you skip the identity provider step, nothing is connected.
  • Connect Microsoft 365 or Google Workspace afterward from Integrations, or from the Connect Microsoft wizard on the dashboard checklist.
  • If the vertical you need isn't listed on the modules step, you cannot add it from the wizard.
  • Contact ezCyber support to have it provisioned.
  • If you don't pick a tone on the voice step, Professional stays selected, it's the pre-selected default, not an unset field.

Questions this page answers

What is the Company section for?

Settings → Company → Company Profile stores your MSP's core identity: company name, product name, contact phone, currency, and default timezone. The phone prints on invoice and quote PDFs. Your logo, favicon, and brand accent color live on the Branding page, and the support address now derives from your connected Help Desk mailbox rather than a typed setting.

Where are the global timezone and currency set?

Right here on Company Profile, alongside your company name and contacts. Default Timezone is the instance-wide clock: rendered dates and ticket timestamps, cron schedules, manual time-entry day bucketing, and the SLA business-hours fallback all follow it. Rendered dates and time-entry bucketing pick up a change immediately; cron job schedules re-read it when the cron container next restarts. Ticket auto-close timing is set on Settings → Service Desk → Ticket Review, and invoice cadence and numbering on Settings → Billing & Pricing → Invoice Settings.

Where do the logo and favicon appear?

Company Logo shows in email headers, on invoice and quote PDFs, and on the client sign-in screen. Those are white or light backgrounds. Logo for Dark Backgrounds is optional. Upload one only if your main logo is hard to see on a dark background. It shows on the dark sidebar. It also replaces your main logo on the sign-in page's dark left panel. Leave it blank and both places use your main logo instead. Favicon shows in the browser tab. It can differ from the logo. It is also used as the agent's tray and desktop icon. All three fall back to defaults when blank. All three update right away when you save - no redeploy needed.

What's a Setup Wizard?

Multi-step config flow that touches several SystemConfig keys at once (e.g. Make-ezCyber-my-PSA wizard commits Replace mode + invoicing defaults + tax behavior in a single guided sequence). Completion is recorded permanently per instance (WizardRun) - the launcher and onboarding checklist show done state across operators and browsers; localStorage only provides fast per-browser resume of a wizard in progress.

What happens if I skip this / what breaks without an AI key?

The AI assistant, chat, ticket triage, drafting, auto-summaries, and dispatch suggestions, stays completely inactive; every AI-dependent feature simply does nothing rather than erroring loudly, so it can look like the portal is just missing those features rather than needing a key. Add the key here whenever you're ready; every AI feature turns on immediately once it's saved, no restart or additional setup needed.
