Manage a service plan from its detail page
Open an existing service plan, read what each card on its detail page controls, and safely try editing, duplicating and deactivating it on a spare copy.
What you will have
- Read a service plan's status, type and description at a glance.
- Know what Billing Schedule, Recurring Items and Pricing Tiers each control.
- See which portal functions a plan turns on, and which clients are subscribed to it.
- Duplicate a plan to get a safe copy to edit.
- Rename a plan, add a description, and save the change.
- Turn on an included function and save it.
- Deactivate a plan you are done selling, and reactivate it later.
Why it works this way
One Save Plan button, at the top and bottom of the page, commits every change on the whole page at once. Toggling a switch or editing a field does nothing on its own until Save Plan is clicked.
Deactivating a plan only stops it from being added to new clients - every client already subscribed keeps billing on it exactly as before.
Reactivating a plan needs no confirmation, and it also clears any expiry date the plan had, since a plan just brought back should not immediately auto-expire again.
Plan Currency locks itself once any client is subscribed, because changing it would re-denominate every subscriber's price without actually repricing anything.
Steps
Open a plan and read its status next to its name.
Managed Desktop shows Active next to its name. A plan can also read Deactivated or Expired here.
Open a plan and read its status next to its name. Look at the Plan Details card: name, type, and description.
Plan Name and Description are plain text fields. Type is a dropdown - Core, License, Add-On, or any custom type the instance has added. Managed Desktop is a Core plan with no description set.
Look at the Plan Details card: name, type, and description. Look at the Billing Schedule card: frequency, bill date, currency, and prorating.
Default Frequency and Bill Date set when this plan invoices - Managed Desktop bills Monthly on the 1st of Month. Plan Currency is locked here because one client subscription already holds this plan. Prorate first bill immediately controls whether a new subscriber's first invoice is prorated to the start date or aligned to the normal cycle day.
Look at the Billing Schedule card: frequency, bill date, currency, and prorating. Look at the Recurring Items card: the plan's priced line.
Managed Desktop has one Base Product line, Managed Desktop Support, priced at $150 with a Manual - No Audit Quantity Basis and a Default Qty of 1. Quantity Basis can instead count synced users, devices, a manual number, tagged things, or Microsoft licenses, depending on what the line should bill for.
Look at the Recurring Items card: the plan's priced line. Look at Pricing Tiers, which gives a line a second rate.
Managed Desktop's line has no tiers yet, so it shows its Base rate: $150.00/unit next to the Add Tier button. Adding a tier opens a second named rate for the same line, for a different kind of client or seat on the same plan.
Look at Pricing Tiers, which gives a line a second rate. Look at Included functions and see which one is already on.
Managed Desktop turns on Security awareness training and leaves CyberSentry security monitoring, Scheduled meetings & agendas, and Client health scoring off. Turning one of these on here puts every client with an active subscription to this plan in scope for it, wherever that function runs in the portal - it is not a setting anyone touches on the client's own record.
Look at Included functions and see which one is already on. See which clients are subscribed to this plan.
The Subscribed Clients card names exactly one client on Managed Desktop: Bluebird Dental, Active. This is the one place on the detail page that shows who is actually billed from this plan.
See which clients are subscribed to this plan. Click Duplicate plan to get a safe copy to edit.
The actions menu next to Save Plan also holds Deactivate plan and Delete plan. Duplicate plan copies the name, with (Copy) added, every field, every line, and every pricing tier, but never copies a subscribed client - the copy always starts with none.
Click Duplicate plan to get a safe copy to edit. Rename the copy and add a description, then save.
Plan Name and Description are typed the same way as any other text field. This copy was renamed KB walk - plan example and given a description, then saved - renaming a plan never changes any client already subscribed to it.
Rename the copy and add a description, then save. Turn on Scheduled meetings & agendas, then save.
Clicking the toggle switches it on immediately in the page, but the change is not stored until Save Plan is clicked. The Saved confirmation in the corner shows it landed.
Turn on Scheduled meetings & agendas, then save. Click Deactivate plan and confirm.
The actions menu's Deactivate plan opens one confirmation: "Deactivate this plan? It can no longer be added to clients - existing subscriptions are unaffected." Confirming does not touch any client already on the plan.
Note: Deactivating does not delete anything. Only Delete plan removes a plan, and it refuses when the plan still has active subscriptions.Click Deactivate plan and confirm. See the plan marked Deactivated, and find Reactivate plan in the same menu.
The status badge next to the plan's name now reads Deactivated, and the actions menu's Deactivate plan item is replaced by Reactivate plan. Reactivating needs no confirmation and also clears any expiry date the plan had.
See the plan marked Deactivated, and find Reactivate plan in the same menu.
If it did not work
- If Deactivate plan does not appear in the menu, the plan is already Deactivated or Expired - look for Reactivate plan instead.
- If Plan Currency will not change, a client is already subscribed to this plan - publish a new plan in the other currency and move clients onto it instead.
- If Delete plan is greyed out or refused, the plan still has active subscriptions - deactivate it instead of trying to delete it.
- If a typed change disappears after leaving the page, it was never saved - click Save Plan before navigating away.
